The solution is based on SharePoint Server 2010 platform and powered by Nintex-2010 Workflow engine. This makes the system extensible and thus, there is a flexibility to design additional processes in future as per the requirement.

Business Problems
As part of exit formalities, an employee needs to go through multiple clearances, approvals and knowledge transfer processes. The clearances/NOCs could involve a nod from finance department, administration department and IT department. Many organizations also have a policy to capture exit interviews in a paper-based form. Clearances and NOCs are mostly done through emails, phone calls and sometimes through physical forms. Also, the exit interview documents are seldom analyzed systematically for making improvements in future.

Such manual processes cause delays because of reactive communications, lack of follow ups and self-service task management for all the people involved. This leads to delayed execution, miscommunication and frustration amongst separating employees.

Solution and Features
Understanding this business problem, Nitor designed a well-defined and configurable employee separation solution. This solution saves time, reduces paperwork and most importantly, makes the exit process a smoother experience for the separating employee and thus creates a strong alumni network.

Organized Workflows: Once HR person triggers employee separation instance, the solution reaches out to all the relevant people such as administration, finance, IT to seek NOC and approvals for clearances. This workflow can be further configured for many steps and approvers.
Alerts and Tasks: Respective stakeholders receive all intimations with action items through email. These can be tracked from intranet portal as well. All the pending tasks, completed tasks and status of the employee to be released can also be seen. Such automated reminders and tasks ensure that no one misses out on any task and those get completed within the defined timeframe.
Systematic Data Capture: All the approval related data as well as exit interviews related data is captured electronically. For HR and organization development teams it becomes easy to focus on qualitative improvements based on this data.
